Troubleshooting
If a tool does not work, start here. Step-by-step checks for the bar, licenses, bots, sending, the AI assistant, and webhooks.
Most problems have a simple cause. Work through the list for what you see. Before anything else, try this:
- Reload WhatsApp Web (press F5).
- Open Settings → Module settings → Diagnostics and click Check again. It tells you whether the WhatsApp tools are loaded, whether you are signed in, and your number.
- Check Settings → Module settings → Recent activity. It lists what your automations did.
The bar does not appear#
- Make sure you are on
web.whatsapp.com, and signed in. - Open
chrome://extensionsand check that WAFlow is switched on. - Click the reload arrow on the WAFlow card, then reload WhatsApp Web.
- Without a license the bar shows only the logo, Activate license and the gear. Apply your license. See Activate your license.
The license will not apply#

| Could not reach the license server | Check your internet connection, and any firewall or VPN that blocks the server. |
| The license server's answer could not be verified | The answer was not signed correctly. Try again, and if it repeats, contact support. |
| This WhatsApp number does not have a usable license | The license expired, or was suspended or revoked. Contact the person who provided WAFlow to you. |
A bot does not reply#
Check these in order:
- Is Pause all automations on? The bar shows a Paused chip. Click it to resume.
- Is the bot Active (its switch is on), and is it for one to one chats or groups as you need?
- Does the message really match? Look at the Match type and whether Case sensitive is on. Try Contains the words first.
- Is another bot above it? Only the first matching bot, from the top, replies. Drag yours up.
- Did it already reply? Replies per chat may be set to 1.
- Is Don't reply while that chat is open on screen ticked, and is the chat open?
- Is the day allowed? A bot with days selected only runs on those days.
- Is WhatsApp Web open?
- Is your hourly limit reached? See Most automatic messages per hour in Module settings.
- Open Recent activity to see if the bot did reply.
A schedule or broadcast did not send#
- WhatsApp Web must be open at the planned time. If it was closed, tick Send automatically even if the scheduled time has passed next time.
- Is Pause all automations on?
- Was the hourly limit reached? Sending pauses until the limit allows more.
- Open the progress window or the report. Failed rows say why. A number that is not on WhatsApp fails. Check numbers with the number validator.
- Was it discarded, because the customer replied first (Schedule's discard option)?
Sending fails, or the WhatsApp connection is not loaded#
Diagnostics shows whether the WhatsApp tools are ready. If the connection is not loaded, reload WhatsApp Web. WhatsApp updates its web page from time to time, and part of a tool may need an update to follow it. If reloading does not help, write to support with your Diagnostics.
The AI assistant does not answer#
- Is the mode on Auto-reply? Off does nothing, and Suggest only only writes drafts.
- On Connection, is the key correct? Click Allow access, then Test connection.
- Is a chatbot or message bot answering instead? The assistant answers only when no bot does.
- Is it inside the operating hours and days on the Rules tab?
- Was a limit reached (answers per customer per day, requests per day)?
- Has it handed over? A hand-over word, an upset customer, or an unsure answer stops it for that chat.
- Is the answer in the knowledge base still marked Needs an answer or containing
[[fill in]]? Those are never sent. - Look at Activity for the reason and any error.
A webhook is not delivered#
- Did you click Allow when Chrome asked for permission to reach the site?
- Is the URL right, starting with
http://orhttps://? - Open Delivery history. The result column shows the status your tool answered with.
- Send a test. If the test works and a real event does not, check that the webhook subscribes to that event and is switched on.
- If you use a secret, make sure your tool checks the signature the same way. See Webhooks.
Kanban is empty or will not open chats#
The full-screen Kanban page needs WhatsApp Web open in another tab. Chats, labels and open chat go through that tab. Open WhatsApp Web, then click Refresh in Kanban.
Blur does not cover everything#
WhatsApp changes its page from time to time. Turn on Blur everything in Blur settings.
Reminders show Missed#
A reminder fires while WhatsApp Web is open. If it was closed when the reminder was due, it says Missed.
My data is gone#
- Did you load WAFlow from a different folder? Chrome treats that as a new extension. Load the old folder again, or restore a backup. See Updating WAFlow.
- Did someone use Erase all data? Restore your latest backup: Settings → Backup and restore.
